Job Overview

Provide dedicated administrative support to the Minor Works Team within the Estates team

The role will encompass the delivery of wide variety of tasks, with a focus of this role being the deliverance of excellent administrative service.

 

Main Duties

Efficient clerical and administrative support as required including but not limited to:

  • Provide support to the Programmers, Senior Managers and Head of Estates in carrying out all administration tasks.
  • Maintain the operational data including training matrix, reporting and any other associated data.
  • Assist in preparation for internal and external audits.
  • Assist with HR issues including investigations and note taking.
  • Support in Daily management and progress of Work Orders through their life cycle to a stage of completion, in a timely manner to meet contract SLA.
  • Ensure that information of progression of Work Orders held on CAFM systems are recorded accurately and in a timely manner.
  • Oversee and maintain email communications inbox for the department
  • This list is not exhaustive.
  • Any other reasonable management request.

 

What we are looking for

  • Demonstrate a proactive approach to delivering excellent customer service to stakeholders.
  • Strong team player orientation - cooperative and willing to assist others.
  • Proficient IT skills including MS Word, MS Excel and MS PowerPoint, and comfortable with numerical reasoning.
  • Engaging communicator demonstrating influencing skills and an ability to adapt approaches to differing audiences.
  • Well organised, with the ability to multi-task, prioritise and manage competing demands. Strong multi-tasking capability, project and deadline oriented.
  • Maintains effective work behaviour in the face of setbacks or pressure - remains calm and in control of themselves.
  • Excellent attention to detail and accuracy.
  • Understanding of Work In Progress (WIP), assisting to keep WIP for the contract at a minimum at all times.
  • Experience or knowledge of CAFM systems
