Procurement and Administration Assistant (FTC)

London - 6 month FTC

This temporary position provides comprehensive support to the team during a period of maternity leave. The successful candidate will be responsible for managing the full purchase order lifecycle, updating OPEX spendings & CAPEX budget, performing various administrative tasks, and managing utility data. Strong organisational skills, attention to detail, and proficiency in relevant software are essential.

 

Main Duties

Responsibilities:

  • Purchase Order (PO) Management: Rais and receipt purchase orders in accordance with company procedures, ensuring accuracy and timely processing. Follow up on outstanding orders and ensure timely receipting of goods and services. Maintain accurate PO records and documentation.
  • OPEX & CAPEX Budget/spending Management: Update and maintain the OPEX & CAPEX budget, tracking spending against allocated funds. Prepare regular reports on budget performance and identify potential variances. Collaborate with relevant stakeholders to manage budget effectively.
  • Administrative Support: Provide general administrative support to the team, including but not limited to: scheduling meetings, managing correspondence, preparing presentations, and filing documents.
  • Utility Data Upload: Regularly upload utility usage data into the designated system, ensuring data accuracy and completeness.
  • Other Duties: Perform other duties as assigned to support the team's overall objectives.
  • To be able to work with third party utility providers.

Qualifications:

    • Proven experience in procurement or administrative support roles.
    • Strong understanding of purchase order processes and procedures.
    • Proficiency in using relevant software - SAP experience is essential. 
    • Excellent organisational and time management skills.
    • Strong attention to detail and accuracy.
    • Excellent communication and interpersonal skills.
    • Ability to work independently and as part of a team.
