Job Title: Workplace Coordinator 
Salary: £16,875
Contract Type: Part Time
Type of Employment: Permanent
Hours: 25 hours per week 
Location: Network Rail, Mannin House, Macon Way, Crewe, Cheshire, England, CW1 6RT 

As a Workplace Coordinator, you'll ensure a tidy and clean appearance across the floor, at desks, collaboration spaces and break out areas, reporting any issues to the floor leads/ Client. You will be the first point of contact for FM related issues and will take responsibility for logging calls on behalf of building occupants, ensuring they are directed to the correct department. You will have regular communication the FM team to communicate and update on any issues, queries and outstanding works and will be responsible for logging and chasing work orders on behalf of the client. As the Workplace Coordinator, you will have a visible presence on the floor, actively walking the floors to check shared areas are kept clean and tidy, and to ensure we are proactively assisting building occupants. The Workplace Facilities Coordinator to play active role during Fire Emergency in line with the building procedure.

 

We are looking for someone with proven experience within a strong customer service environment, high quality interpersonal skills, with excellent written and spoken communication skills. The ideal candidate will be self-disciplined and able to work on their own initiative. You will have a Flexible and adaptable approach to work with good problem-solving skills and the ability to deal positively with conflict situations. Attention to detail, and a focus on standards and being methodical and organised is a must. Computer literacy, competent with the Microsoft Office suite including Word, Excel, PowerPoint and Outlook and the ability to support printing and audio-visual solutions will be beneficial in this role and a valid formal Health and Safety Qualification e.g., IOSH is desirable.

  • Facilitate the delivery of all FM related services within your area whilst ensuring customer requirements are met and their needs are anticipated at all times, to be proactive in delivery/
  • Engage with all MITIE partners so as to ensure a collaborative and efficient approach and a swift response to all service requests. This will require continual communication with the FM Helpdesk and service managers/supervisors in addition to keeping the customer up to date at all times.
  • Full responsibility for regularly updating Network Rail colleagues, face to face, on progress of tasks being carried out which have been reported by them and seeking their comments and feedback as and when appropriate.
  • Proactive in keeping communal floor areas, including hubs, staircases, coffee points and copy areas well stocked, tidy and safe.
  • Take full ownership of all aspects of meeting rooms including housekeeping and AV equipment.
  • Responsible for assisting with the updating of CAFM on the progress of logged jobs.
  • Report issues through the Helpdesk as and when they occur, ensuring that all service requests reported are monitored and completed satisfactorily within your area and within the agreed SLA's.
  • To work alongside the Customer in a consultative manner offering support and guidance on areas of practical Quality, Health,Safety and Environmental.
  • To take a hands on approach with the mailroom activity ensuring all processes and procedures are followed correctly.
  • Act as a first point of contact and advise end users on all aspects of mail and distribution services where no Senior Workplace Co-ordinator is in place.
  • To be responsible for all compliance documentation ensuring all documentation is regularly updated and maintained.
  • Adhere to Quality, Safety, Health and Environmental policies and procedures on site and to MITIE's policies and procedures.
  • To be flexible in approach to work patterns and systems to maintain the standards required.
  • Adhere to any reasonable management requests from line managers or client contact.
  • Cover of the reception desk at lunch times.
