Project Administrator

Location: London (Multi Site Based)
Shift: 40 Hours Monday - Friday

We're looking for a Project Administrator to support the successful delivery of projects by providing high‑quality administrative and documentation control support throughout the project lifecycle, ensuring efficiency, compliance and value for money.

Role Responsibilities

  • Coordinate project administration activities, including organising meetings and monitoring key project dates
  • Produce, maintain and control project documentation throughout the project lifecycle in line with company procedures
  • Manage and organise business‑critical documentation such as drawings, project information, O&M manuals, PQQ documentation, site logbooks and meeting minutes
  • Provide general administrative support including typing meeting minutes, updating project reports, progressing invoices and maintaining site registers
  • Maintain accurate and up‑to‑date company databases, ensuring information is filed, archived and easily retrievable
  • Support the Contract Manager and wider project team with correspondence, contract letters and subcontractor tender enquiry packs
  • Order and manage site consumables, PPE and stationery, maintaining budget tracking spreadsheets
  • Maintain training registers for construction operatives
  • Support Safety Officers during inspections and maintain health & safety folders
  • Prepare site signage and labelling as required
  • Assist with basic reporting, analysis and research tasks
  • Maintain confidentiality and exercise discretion at all times when handling company and client information

What we're looking for

  • GCSE Maths and English at grade 4 (C) or above (or equivalent)
  • Previous experience in office or project administration, with exposure to invoices, documentation control and stock management
  • Strong organisational skills with excellent attention to detail and the ability to manage multiple tasks
  • Good IT skills with intermediate proficiency in Microsoft Office
  • A proactive, dependable and flexible approach to work
  • Confidence using initiative to solve problems and support the wider project team
