Job objectives and responsibilities

 

  • An exciting opportunity to work in the Defence business unit of Mitie as a Programme Manager for the Germany & Wider Europe (GWE) Contract. The role will be to support all aspects of Additional Services across the Contract ensuring the successful and safe delivery of  high volume, low value works and some major projects to programme, budget and the required quality standard. 
  • The Programme Manager is responsible  for ensuring the Additional Services team in both Mitie and DIO are working together to ensure all works are accurately processed through the various stages of the Additional Services process,  and that works are started and completed in accordance with the programme agreed.
  • Day to day collaboration with the DIO Project Managers and associated DIO personnel  will be required along with all members of the staff across all stakeholders to ensure the organisation is able to achieve its objectives in the most cost and resource efficient way.
  • The position can be based remotely, however the role will require frequent travel across the Contract Asset locations as required.
  • The successful candidate will need to undertake security clearance checks.

 

Main duties and accountabilities

 

  • Defining, developing, and prioritising business objectives in the delivery of Billable works with the GWE Additional Works and   leadership team.
  • Collating and publishing the 'Forecast and pipeline trackers' for Planning projects, including timelines, budgets, tasks, and resource plans in order to accurately report all additional services.
  • To Interface with DIO on all matters PMO as required.
  • Take ownership of the CDIP programme for Mitie and the preliminary outputs required to meet the GWE contract workin g closing with the DIO representatives.
  • Reporting and Managing the receipt and Workflow of Tasks into the Mitie CAFM( Maximo) for onward distribution to the Additional Works Team.
  • Identifying project needs and monitoring progress to align with the Forecast and pipeline timeline to completion.
  • Monitoring expenditures and creating detailed reports for upper management.
  • Keeping track of a project's progress and ensuring that reports capture the critical path to completion and align with Milestones
  • Implementing changes to teams and processes as and when needed.
  • Collaborating with different departments to ensure all leaders understand where a project is in the procurement process
  • To Publish the Billable works elements of the Monthly CPMM report.
  • To publish and managed the status of aged tasks on the GWE Contract
  • To Collate , publish and track the status of Task ownership within the CIDP delivery programme.
  • To facilitate the co-ordination of 2 weekly progress meetings with all stakeholders.
  • PMO Facilitation of multiple projects across a diverse property portfolio.
  • Monitoring and reporting the project budgets across multiple locations through liaison with the Commercial Team.
  • Managing the communications with all stakeholders (internal & external).
  • Developing and managing positive relationships with clients and stakeholders.

Person Specification

 

Knowledge & experience

 

  • Conversant in how to overview estimates of project programmes and cost targets, reviewed and revised as necessary to inform Deliverability assessments.
  • Able to capture stakeholder briefs, analysing and testing the documented statement of stakeholders and user requirements.
  • Able to determine the overall duration of projects, including the identification of activities, interdependencies, and estimated duration's.
  • Competent in the use of Excel, Access, Word, PowerPoint, Microsoft Project and Maximo (desirable).
  • A minimum of five years experience of working within a facilities management related industry.
  • Able to deliver the above at pace, working within multiple deadlines whilst delivering works accurately.
  • Must be willing to regularly travel overseas.

  • Good knowledge of budgeting and resource allocation procedures.
  • Sufficient seniority and credibility to advise on their projects in relation to the programme.
  • Flexible in approach to resolving issues and delivering programmes.
  • Champions change and encourages innovation and the implementation of new ideas.
  • Reinforces a team approach on client projects and internal initiatives.
  • Communicates effectively with clients to identify needs and evaluate alternative business solutions and strategies.
  • Provides senior level resolution to client issues.
  • Possess the moral courage to challenge the unacceptable and negotiate complex issues.
  • Hold a Full UK or German Driving licence.
  • Experience of working in an MOD environment desirable
  • The successful candidate will need to achieve a minimum-security clearance to an SC designation.  
  • You will be expected to work to your own initiative, whilst also working well as an integral team member.
  • Knowledge of the German construction system and statutory requirements set down within Germany
  • Working Knowledge of The German Schedule of Rates (StLB)
  • Working knowledge of E-procurement systems and CAFM systems
  • Previous knowledge MoD working practices

Health and Safety responsibilities

 

  • Follow Group and company policies and procedures at all times;
  • Report any apparent deficiencies in systems of work or equipment provided that may result in failure of service delivery or risk to health and safety or the environment;
  • Use all work equipment and personal PPE properly and in accordance with training received; and
  • Report any issues or training needs to your Line manager and /or via your divisional incident reporting system.
