Position: Lead Quality Assurance Coordinator 

Location: Oxford

Role: Full Time, Onsite

 

Job objectives and responsibilities

  • Assist the Quality Assurance Coordinators with day to day tasks, offering support and guidance where required
  • Ensure the effective planning/allocation of PPM/RW tasks using Mitie CAFM system and scheduling tools to aid the completion of all PPM/RW within the required targets.
  • Prepare schedule to maximise utilisation (where possible) and effectiveness of planned routes for appropriately skilled engineers to achieve PPM/RW SLAs each day.
  • To attend/host Operational ticket management review calls/meetings
  • Ensure mitigation reasons are obtained and applied in Maximo once agreed with the client
  • To identify areas of risk to KPIs and escalate to Supervisor/Contract Manager for action to eliminate, reduce or transfer the risk of failing SLA's
  • To carry out duties in compliance with Mitie Technical Facilities Management Policies and Procedures
  • Manage site specific Reactive ticket trackers, updating multiple times a day and distributing to relevant Operational team
  • Manage PPM backlog report, liaising with Operational teams to ensure backlog tickets are managed/progressed through to completion. Providing a Contract wide backlog update on a fortnightly basis.
  • Carry out various reporting requirements which look at productivity and track monthy delivery
  • Provide support to the Service Assurance Manager with end of month KPI/SLA results and submissions to the client
  • Provide support/manage the remedial process, working with the Operational team to ensure PPMs/Assets are in a satisfactory condition
  • Ensure Operational teams are carrying out PPM/RW works to a compliant standard. Review compliance reports to identify improvements
  • Ensuring relevant certification is attached in Mitie CAFM system
  • Working closely with Contract Managers, Supervisors, Admin and Service Assurance Teams
  • To perform tasks in a professional manner to a suitable standard which meets both Client and Mitie expectations
  • Comply with Mitie's Health and Safety policy/legislations

 

Main duties

  • To manage all Mitie Engineer work schedules in Click, communicating with operational teams daily, weekly, and monthly
  • To allocate and complete all Contractor work in Maximo, communicating with operational teams daily, weekly, and monthly
  • Ensuring relevant certification is attached in Maximo
  • Monitor site compliance in relation to PPM activities (utilising Mitie reporting tools)
  • Effective utilisation, efficiency and productivity of the Mitie Engineers
  • Carry out various reporting requirements which help to monitor monthly delivery of both PPM/RW
  • Regular communication with Engineers, Contract Managers, Supervisors, Admin and Service Assurance Teams
  • In addition to the duties and responsibilities outlined you may be required to perform other duties assigned and requested by the Line Manager
  • Ensure mitigation reasons are obtained and applied in Maximo once agreed with the client
  • To provide support to the wider Account Management Team
  • To deputise the Service Assurance Manager as and when required

 

What we are looking for:

  • Experience of daily interaction and workload management of field engineers
  • Co-ordination and Planning skills – excellent organisational skills and ability to prioritise workload.
  • Confident communicator professionally and effectively, both verbally and in writing, within all levels of the business and to external parties.
  • Microsoft Intermediate Excel skills
  • Customer Care
  • Relevant experience in a Planning role using business in-house systems together with Microsoft packages
  • Commercially aware with a clear focus on high quality and control of cost
  • Reliable, Self-motivated, result-oriented, calm under pressure
  • Knowledge of Maximo or similar CAFM system desirable
  • A knowledge of the hard services and facilities management sectors is desirable
  • Understanding of supply chain/basic planning process (order, production, delivery
