As a Contract Office Administrator Apprentice based at HMS Collingwood, you'll join an experienced and versatile team delivering first-class contract support services to Armed Forces personnel. This 18-month apprenticeship offers the opportunity to gain valuable administration and business support experience while supporting the delivery of services across the Hestia and FMSP Clyde Soft FM contracts.
Working closely with the Business Coordinator and Senior Management Team, you'll play a key role in maintaining efficient office administration, supporting contract operations and developing the skills needed to build a successful long-term career.
As a Contract Office Administrator Apprentice, you'll gain hands-on experience across a variety of business support activities, including:
Coordinating, ordering, controlling and issuing workwear and PPE for contract colleagues.
Supporting the smooth running of the Contract Office and associated workspaces, including maintaining noticeboards and reporting defects.
Maintaining accurate contract records and ensuring compliance with GDPR requirements.
Promoting effective information management practices across SharePoint and contract systems.
Producing monthly and ad-hoc staff reports, statistics, organisation charts and other business documentation.
Assisting with the maintenance of training records and arranging external training.
Supporting the maintenance of contract reporting dashboards and management information.
Acting as a user of the contract procurement system and supporting purchasing activities.
Welcoming visitors, arranging visitor notifications, escorting visitors and coordinating refreshments where required.
Managing incoming deliveries and outgoing parcels.
Updating process maps using Microsoft Visio, converting documents to PDF and maintaining version control records.
Supporting internal and external communications through the preparation of reports, presentations and other materials.
Completing all apprenticeship requirements while developing the knowledge, skills and behaviours needed for career progression.
Promoting a positive Health & Safety culture and adhering to company policies, procedures and legislation.
Supporting additional business activities and projects as directed by your line manager.
We're looking for a confident and professional individual who is eager to learn and develop a career in business administration.
The successful candidate will be a credible communicator with strong judgement, integrity and discretion. You'll be proactive, responsive to changing business needs and able to build positive working relationships at all levels. Whether working independently or as part of a team, you'll remain calm under pressure and committed to delivering high standards.
You'll have:
MOD security clearance and DBS Standard required. To meet national security vetting requirements, you will normally need to have been resident in the UK for at least 3 years to gain a Counter Terrorist Check, 5 years for Security Clearance and 10 years for Developed Vetting prior to the date of application. All Developed Vetted posts are required to be UK Nationals. Proof of right to work in UK essential. The Contract operates a 37.5 hour working week between the hours of 0730 and 1700 Mon to Fri only. Required to wear approved company work wear.
