The Workplace & Facilities Coordinator will be responsible for delivering an exceptional workplace experience across the Cartier portfolio, ensuring all facilities services are coordinated effectively and maintained to the highest standards. 

The role will act as the primary day-to-day liaison between Cartier colleagues, contractors, suppliers and the Mitie operational team, supporting both soft and hard FM services. The successful candidate will be passionate about customer service, proactive in identifying improvements and committed to maintaining a world-class working environment reflective of the Cartier brand. 

 

Key Responsibilities 

Workplace Experience 

  • Deliver a five-star workplace experience for all Cartier colleagues, visitors and stakeholders. 
  • Act as the first point of contact for workplace and facilities-related requests. 
  • Build strong relationships with boutique teams, office employees and key stakeholders. 
  • Ensure all customer requests are managed professionally and resolved within agreed timescales. 
  • Promote a positive and proactive customer-focused culture across the contract. 

Facilities Coordination 

  • Coordinate reactive, planned and preventative maintenance activities across the Cartier estate. 
  • Liaise with contractors, suppliers and Mitie operational teams to ensure works are completed safely and efficiently. 
  • Monitor open work orders and ensure timely progression through to completion. 
  • Escalate service issues and operational risks to the Account Director where necessary. 
  • Support delivery of both hard and soft FM services in line with contractual obligations. 

Workplace Inspections & Audits 

  • Complete daily and weekly workplace inspections across Cartier locations. 
  • Identify and report maintenance issues, workplace concerns and opportunities for improvement. 
  • Raise and track corrective actions through the helpdesk and CAFM systems. 
  • Support site audits and compliance inspections. 

Client Relationship Management 

  • Develop and maintain strong working relationships with Cartier stakeholders. 
  • Attend client meetings where required and provide updates on service performance. 
  • Ensure customer communications are professional, accurate and timely. 

Health, Safety & Compliance 

  • Promote a positive health and safety culture across the contract. 
  • Ensure all activities are undertaken in accordance with Health & Safety procedures. 
  • Support accident reporting, investigations and close-out of actions. 
  • Monitor contractor compliance and site access requirements. 
  • Maintain compliance records and documentation. 

Reporting & Administration 

  • Produce weekly and monthly service performance reports. 
  • Prepare information for client review meetings and quarterly reporting packs. 
  • Ensure documentation, audits and service records are completed and stored correctly. 
  • Support the Account Director with operational reporting and contract administration. 

Continuous Improvement 

  • Identify opportunities to improve workplace experience and service delivery. 
  • Support implementation of new processes, procedures and initiatives. 
  • Monitor performance against KPIs and help drive service improvements. 
  • Promote a collaborative "One Team" approach across all service lines. 

 

Knowledge, Skills & Experience 

Essential 

  • Previous experience in Facilities Management, Workplace Experience, Hospitality or Customer Service. 
  • Excellent communication and relationship-building skills. 
  • Experience coordinating multiple service providers and stakeholders. 
  • Strong organisational and time management skills. 
  • Ability to manage competing priorities in a fast-paced environment. 
  • Strong attention to detail. 
  • Competent in Microsoft Office, including Outlook, Word, Excel and PowerPoint. 
  • Ability to work independently and use initiative. 

Desirable 

  • Experience within a luxury retail, corporate or premium workplace environment. 
  • Experience using CAFM systems such as Maximo. 
  • IOSH Working Safely or equivalent Health & Safety awareness. 
  • Knowledge of Facilities Management service delivery. 
  • Experience preparing operational and KPI reports.
