  • Efficient Handling of Mail: Ensure all incoming and outgoing mail, parcels, and packages are processed in a timelyaccurate, and organized manner. 
  • Operational Support: Provide essential administrative support by ensuring that mailroom activities run smoothly and efficiently.

  • Delivery Accuracy: Ensure accurate and prompt delivery of mail and parcels to internal departments or external recipients.

Main duties 

  • Provide the highest standard of client focus through the facilities service with first class customer service skills 
  • Carry out all reactive requests to cover all facilities service areas required by the Client & ensure a smooth running operation. 
  • Cover the mailroom during site delivery hours, making sure all duties are covered. 
  • Ensure that service delivery meets the requirements of the service level agreements (SLAs) as detailed in the main contract document. 
  • Ensure meeting room booking information is displayed on all rooms and is accurate where applicable and appropriate 
  • Provide AV support, set up and equipment to all meeting rooms. 
  • Provide mailroom services to relevant buildings 
  • Delivery of all goods inward deliveries to all required destinations 
  • Maintain a high standard of housekeeping throughout the buildings property 
  • Stock control and replenish all office service centres of paper and envelopes 
  • Assist with Stationary centralisation project. 
  • To continually promote and support a “team spirit” within the Facilities team.  To recognise the importance of the teamwork in achieving the departmental objectives and to contribute effectively 
  • AD Hoc general porterage duties as requested 
  • To understand and complete all work related documentation accurately and on time 
  • To understand and comply with policies and procedures 
  • To carry out work in a safe and diligent manner 
  • To comply with all Health and Safety policies and procedures 
  • To attend and fully participate in training and appraisal activities as required 
  • To undertake additional duties in line with capabilities as required 

 

Person Specification 

 

  • A qualification in administration or logistics would be an advantage. 
  • Basic literacy and numeracy skills (GCSE or equivalent). 
  • Previous experience in a similar role (e.g., mailroom, postal service, or general administration). 
  • Experience working in a fast-paced environment or within a large organization. 
  • Familiarity with sorting and handling a range of mail types, including confidential or sensitive documents. 
  • Ability to handle mail and packages with care and attention to detail. 
  • Ability to prioritize and manage workload to meet deadlines. 
  • Basic computer literacy (e.g., email, spreadsheets). 
  • Ability to work independently and as part of a team. 
  • Good organizational and time management skills. 
  • Familiarity with the use of mail sorting equipment or mail tracking software. 
  • Ability to use a variety of office equipment (e.g., franking machines, photocopiers). 
  • Strong attention to detail and accuracy. 
  • Good communication skills, both verbal and written. 
  • Positive and proactive attitude, willing to take initiative. 
  • Professional, reliable, and trustworthy. 
  • Good physical fitness to handle lifting and sorting of packages. 
  • Flexible approach to work, with the ability to adapt to changing priorities and workloads. 
  • Demonstrated ability to maintain confidentiality when dealing with sensitive or personal information. 
  • Ability to work flexible hours if required. 
  • Willingness to undertake manual handling tasks and work in a physically demanding environment.

Health and Safety responsibilities 

  • Follow Group and company policies and procedures at all times; 
  • Report any apparent deficiencies in systems of work or equipment provided that may result in failure of service delivery or risk to health and safety or the environment; 
  • Use all work equipment and personal PPE properly and in accordance with training received; 
  • Report any issues or training needs to your  Line manager and /or  via your divisional incident reporting system;
