A key role required to assist in the smooth running of the Product Solutions Department by providing essential administration support to the Product Solutions Production Supervisor
Main Duties
- Raise all purchase orders for the Product Solutions department. All orders must indicate the unique job number for audit purposes.
- Keep departmental and all project spend trackers updated.
- In conjunction with the payments department ensure all external suppliers are paid promptly to avoid accounts being placed ‘ON STOP'.
- Prepare and distribute customer quotes via bespoke database.
- Prepare and send out quote requests to external suppliers for costing.
- Ensure all job folders contain the correct information so work can be scheduled for production or installation.
- Collate information into individual or client project files.
- Cross reference all spend against job numbers to ensure everything has been invoiced
- Daily - send completed jobs to invoice
- Daily - update notes and letters on all job numbers from information gained from suppliers or sign makers
- Create system with the Production Supervisor to ensure all key stock levels are maintained at the agreed levels required.
- Conduct weekly meetings with the Production Supervisor to discuss performance.
- Manage departmental stationery requirements
- Ensure workplace is free from trip hazards and conforms to Health & Safety requirements
- Deputise for the Production Supervisor as and when required
- Learn operating manual and update as department evolves. Changes managed by Product Solutions Manager
- Schedule internal team meetings
- Manage cleaning contract within Product Solutions department
- Report any building or heating faults and manage with provider until completion
- Book all services for printers and vehicles on behalf of department
- File all delivery notes and ensure stock is stored in approved locations
- Assist production department with packing finished printed panels
- Book couriers required to deliver finished panels
